Locking the year end in Zoho Books: the short answer
Locking the year end in Zoho Books means setting a transaction lock date at the end of the financial year once the accounts are filed. After that, nobody can add, modify or delete a transaction recorded before the lock date. You enter a reason when you lock. You also decide in advance who may unlock the year, and why.
The lock protects the figures your accountant signed off. Without it, a late bill, a re-dated invoice or a corrected journal can quietly change a year that is already filed. The filed accounts then no longer match the books. The difference usually surfaces months later, when it is harder to trace.
Zoho Books has two tools for this, and they do different jobs:
- Transaction locking freezes every transaction in a period, by module or all at once.
- Record locking freezes individual records, such as one invoice or one credit note, for chosen roles.
This guide covers both tools. It includes a worked example and explains why Zoho Books sometimes refuses to lock. It ends with a decision table, the common mistakes and the steps to take next.
Transaction locking in Zoho Books: what it freezes and on which plans
Transaction locking is a Zoho Books feature that freezes transactions for a specified period. Transactions recorded before the lock date cannot then be added, modified or deleted. It is the main control for closing a financial year. The Zoho Books help page on transaction locking lists it on the Standard, Professional, Premium, Elite and Ultimate plans.
You can lock all transactions at once, or lock one module at a time. Each module can have its own lock date. The four modules you can lock individually are:
- Sales
- Purchases
- Banking
- Accounts, which covers journals, tax payments, tax adjustments and base currency adjustments
Separate lock dates help when parts of the close finish at different times. Sales may be final before the accountant has posted the last adjusting journals. In that case you could lock Sales first and Accounts later. For a filed year, though, every module should end up locked to the same date.
Zoho Books asks for a reason every time you lock or unlock transactions. Treat that field as part of your audit trail. A reason such as "Year to 31 March filed, accounts approved by the directors" tells the next person why the period is closed. A reason that just says "locking" tells them nothing.
Year-end checks to finish in Zoho Books before you set the lock date
Finish every adjustment for the year before you lock it, because a locked period accepts no new or changed transactions. Locking is the last step of the close, not the first. Zoho's year-end accounting tips for Books users name several items that are easy to miss.
These are the checks worth running before you lock:
- Bank reconciliation. If you entered bank transactions by hand, reconcile the balances with the actual bank statements. Look for cancelled or uncleared cheques.
- Prepaid expenses. Insurance or services paid in advance were recorded as assets. Move them to expenses for the period they cover.
- Owner's drawings. Money an owner takes for personal expenses usually sits in a temporary account. Close it and transfer the balance to an equity account.
- Depreciation. If the business has fixed assets, account for the depreciation expense, for example with a manual journal.
- Bad debts. Write off invoices sent to customers who are unlikely to pay.
Zoho Books also lets you invite your accountant into your organisation to review the numbers remotely. Do that before the lock, so any corrections land in the open period. If you track the year against a budget, the guide to budgets versus actuals in Zoho Books shows how to compare the final figures before you close.
Worked example: locking a financial year that ends on 31 March
This example shows how a small company with a 31 March year end would lock its filed year in Zoho Books. The accounts are filed, the accountant has posted the final journals, and the directors have approved the figures. Nothing for that year should change again.
- Open the Transaction Locking page in Zoho Books. The help centre files it under its Accountant section.
- Pick the option to lock all transactions at once, because the whole year is final.
- Set the lock date at the end of the year. Zoho Books locks transactions recorded before the lock date, so confirm that 31 March itself falls inside the locked range before you save.
- Enter the reason, for example "Year to 31 March filed. Final journals posted by the accountant. Approved by the directors."
- Save, then test the lock. Try to edit an invoice dated in March of the closed year. Zoho Books should refuse the change.
The timing of the lock matters as much as the setting. At Svennis we set the lock only after the accountant confirms in writing that the year is filed. We copy that confirmation into the reason field, so the trail survives staff changes.
If Zoho Books will not save the lock, the cause is usually stock. The next section explains the two inventory conditions that block a lock in Zoho Books.
Why Zoho Books refuses to lock a period: negative stock and future bills
Zoho Books refuses to lock a period when stock valuation in that period depends on something outside it. The transaction locking help page names two cases. Both affect companies that track stock, and you must fix both before the lock will save.
Negative stock in any location
Negative stock occurs when you sell an item before you buy it, so the invoice comes before the matching bill. Zoho Books prevents you from locking a period that includes transactions with negative stock. Valuation is calculated per location. One warehouse can therefore block the lock even when the company's overall stock is positive.
An invoice that depends on a later bill
Zoho Books values stock on a first in, first out basis, known as FIFO. Sometimes an invoice inside the lock period draws its cost from a bill dated after the period. Zoho Books then shows an error. The outward transaction in the locked period depends on an inward transaction dated in the future.
The fix in both cases is to correct the stock records while the year is still open. Record the missing purchase on its real date, or correct the stock position in the location that shows a negative balance. Then try the lock again. Do not delete the invoice to get past the error, because that changes the sales figure you filed.
Who may unlock a closed year in Zoho Books, and how partial unlocking works
Decide who may unlock a closed year before you lock it, and write the rule down. Zoho Books requires a reason to unlock, but the reason field records a decision rather than making one. A short written policy stops a well-meaning user from reopening a filed year to fix a small error.
A sensible unlocking policy has three parts:
- Name one or two people who may unlock, usually the finance lead and the external accountant.
- Allow unlocking only for a correction the accountant has agreed in writing.
- Relock the same day, with a reason that says what changed.
Partial unlocking
A partial unlock opens a specific date range instead of every locked transaction. Transactions in that range can then be created, modified or deleted, while the rest of the year stays locked. If the accountant needs one journal in March, unlock March and leave the other months closed.
Partial unlocking is not allowed for organisations with transactions involving inventory-tracking enabled items. Those organisations have to unlock the whole locked range, make the change and relock straight away. The written policy matters even more for a business that tracks stock, because every correction briefly opens the full year.
Record locking in Zoho Books for single invoices, quotes and credit notes
Record locking is a Zoho Books feature that locks individual records so that only users whose roles have sufficient permission can update them. It complements transaction locking. Use it when one document must not change, whatever its date. The Zoho Books help page on record locking lists it on the Premium, Elite and Ultimate plans.
Record locking covers items, invoices, quotes, sales orders, credit notes and custom modules. It runs through a lock configuration. A lock configuration is a setting where an admin defines which actions are allowed or restricted once a record is locked, and which roles can perform them. In Lock Records For, you choose All Roles, or All Roles Except to let selected roles keep updating.
The restrictions differ by record type. Items and custom modules support both action and field restrictions. Quotes, sales orders, invoices and credit notes support action restrictions only. The Allow or Restrict Fields option disappears if you choose Restrict All Actions, or Restrict Selected Actions with Edit selected.
To lock a record, a user selects the lock configuration and enters a reason. The record then shows a Lock icon. It displays the reason, the user who locked it, the date and time, and the configuration used. Unlocking needs sufficient permission and a reason as well.
Which Zoho Books lock to use: a decision table for year-end situations
Use transaction locking for periods and record locking for individual documents. The table matches common year-end situations in Zoho Books to the right tool and the step to take.
| Situation | Tool | What to do |
|---|---|---|
| The year's accounts are filed | Transaction locking, all modules | Lock all transactions to the year end, with a reason that cites the filing |
| Sales are final, adjusting journals still to come | Transaction locking, by module | Lock Sales now and Accounts after the final journals |
| The accountant needs one correction in a closed month | Partial unlock | Unlock that date range only, post the correction, then relock |
| The same correction, in a business that tracks inventory | Full unlock | Partial unlocking is not allowed, so unlock, correct and relock at once |
| Zoho Books refuses the lock | Stock correction first | Clear negative stock in each location and any invoice tied to a later bill |
| A disputed invoice must not be edited | Record locking | Lock it with a configuration that restricts Edit for all roles except finance |
Plan limits decide which rows apply to you. Transaction locking is listed on the Standard, Professional, Premium, Elite and Ultimate plans. Record locking needs Premium, Elite or Ultimate. On a lower plan, transaction locking still covers the year-end close.
Common year-end locking mistakes: skipped locks, careless unlocks and bulk updates
The most common year-end mistake in Zoho Books is not locking at all. A filed year left open stays editable by everyone with access. A single re-dated bill can then change the profit you reported. Set the lock as soon as the accounts are filed.
The other mistakes come from unlocking carelessly:
- Unlocking everything for one fix. Use a partial unlock for the affected dates where your organisation allows it.
- Forgetting to relock. An unlock left in place for weeks is the same as no lock.
- Empty reasons. A reason that says "fix" leaves no trail for the next reviewer.
- Deleting a lock configuration. Deleting one unlocks every record locked with it. Mark it inactive instead: the records stay locked, and the configuration stops appearing as a choice.
Bulk updates to inventory
Do not assume the lock catches every change. A user on the Zoho community forum thread on data locking reported that bulk updates to inventory values and quantities gave no warning about effects on cost of goods sold (COGS) in the previous financial year. The user said this changed COGS and retained earnings figures already reported, and that Zoho developers confirmed the problem. Their only fix was a manual journal at the start of the next year. Treat any bulk stock update as a possible change to closed figures, and check it with your accountant first.
What locking the year end means for a UK company using Zoho Books
For a UK company, the locked year in Zoho Books should match the accounts you filed and the VAT you reported. Once the accountant signs off, the books are the record behind both. A transaction lock keeps them aligned.
Bad debt relief is the UK point to plan around before the lock. The UK edition of Zoho Books lets you write off an unpaid invoice as bad debt. You can then claim back from HMRC the VAT you paid on it, six months after the invoice's due date. Decide before the lock which old invoices you will write off in the closing year. Once the year is locked, you cannot add a write-off dated inside it.
Plan limits are set out clearly in the UK help pages. Transaction locking is listed on Standard, Professional, Premium, Elite and Ultimate. Record locking is listed on Premium, Elite and Ultimate. Our page on Zoho Books for UK businesses gives the wider picture of the product before you design controls around it.
Keep your accountant inside the system rather than outside it. If the accountant works outside the company, invite them into your Zoho Books organisation before year end instead of sending exports. Their corrections then go into the open period, and the lock follows their sign-off.
Next steps: lock your last filed year in Zoho Books
Start with the last financial year you filed. If Zoho Books still shows it unlocked, lock it this week, with a reason that names the filing. Then write the unlocking policy and share it with everyone who can post transactions.
- Check which plan you are on, so you know whether record locking is available.
- Confirm with your accountant that the year is final and filed.
- Check for negative stock in each location and for invoices tied to later bills.
- Lock all transactions to the year end, then test the lock on an old invoice.
- Name who may unlock, for what kind of correction, and how soon they relock.
