Backing up and restoring Zoho CRM data: what the built-in backup covers
Backing up and restoring Zoho CRM data starts with the built-in Data Backup feature in Setup. It gives you ZIP files of your module records and their attachments, on a schedule you choose. It does not capture your custom fields, custom modules, workflows or functions. Restoring from it is a job you plan and test yourself.
A Zoho CRM data backup is a downloadable copy of the records held in your CRM modules. Zoho packages it as ZIP files, and you store those files outside the CRM. Once you download it, that copy is in your hands and under your control. Zoho also runs its own daily backups, but those serve a different purpose, and you cannot open them.
The rest of this guide covers five things:
- what the backup ZIP holds and what it leaves out
- how to schedule it and make sure someone receives the alert
- how to send backups to Zoho WorkDrive automatically
- how to test a restore before a bad import or deletion forces you to
- where a partner-built process closes the gaps in configuration, related records and integrations
If you are new to the CRM itself, the basics of Zoho CRM for beginners explains modules, records and fields before you go further.
Records and attachments are in the Zoho CRM backup; structure and automation are not
The Zoho CRM backup ZIP contains your record data and the attachments linked to those records. When a backup is ready, Zoho emails links to download the files. That covers the data most people fear losing after a bad import: the contacts, deals and notes your team typed in.
The backup does not contain the system around that data. One Zoho community poster states that the backup .zip files do not include infrastructure such as custom fields or custom modules. Another reports that Workflows and Functions are not included, and that to their knowledge no backup feature exists for them.
The checklist below sets out each part of a Zoho CRM account and how to cover it.
| Part of your CRM | In the Data Backup ZIP? | How to cover it |
|---|---|---|
| Module record data | Yes | Scheduled Data Backup, stored outside the CRM |
| File attachments on records | Yes, related attachments are included | Keep them with the record files from the same backup |
| Custom fields and custom modules | No, according to a user report | A written record of every module, field and field type |
| Workflows and functions | No, according to a user report | Saved copies of each rule and each function's code |
| Data held in connected apps | No, it sits outside the CRM | A backup routine in each connected app |
Zoho's own daily backups protect Zoho, not your mistakes
Zoho runs automatic daily backups of Zoho CRM data and keeps them for up to 90 days. The service also runs on infrastructure with redundant data centres. That protects you against a failure on Zoho's side.
Those daily backups are not directly accessible to you. You cannot open them, download them or use them to roll back a single module after a mistake. If one of your own users deletes records, or an import overwrites a field across thousands of contacts, Zoho's internal copy does not give you a self-service way back.
The risks that do cause data loss are mostly local. They are sync errors, problems in third-party apps that write to your CRM, and plain human error. A user with delete rights, a badly mapped import file and an integration that misfires all damage data that Zoho itself is holding perfectly safely.
The same applies to configuration. In a Zoho community thread on workflow and function backups, a member describes the risk directly. If an admin deletes the wrong workflow or function, it could cause serious issues across the system, with no recovery option available. Your own backup routine exists to cover these cases.
Scheduling a Zoho CRM backup: frequency, edition and notifications
You schedule a Zoho CRM backup from the Setup area. Click the gear icon to enter Setup and search for "Data Backup". In the new Zoho CRM interface the gear icon sits at the bottom left; in the old interface it is at the top right.
Full backups, manual or scheduled, are available on Zoho CRM Enterprise edition and in Zoho One. If Data Backup does not appear in your Setup, check your edition before anything else. The schedule options are weekly, monthly or twice a month, and twice-a-month backups come at no extra cost.
Choose the frequency by how much rework you can absorb
Frequency decides how much work you could lose. A monthly backup means a deletion late in the month falls back to a copy that is weeks old. One user in the Zoho community thread on data backup had hers set to once a month and wanted to move to twice a month for that reason.
Make sure the backup alert reaches a current mailbox
The same user had never received a notification that her backup was ready. She believed the alert was tied to a former employee's email. At Svennis we point the backup notification at a shared admin mailbox rather than a named person, because we often find the alert still going to someone who has left. A backup nobody downloads is no backup at all.
Sending Zoho CRM backups to Zoho WorkDrive with Automated Backup
Automated Backup sends Zoho CRM backups to cloud storage without anyone downloading them. Without it, the routine is manual. A forum user in the Zoho community thread on automating CRM backup storage found they always had to download the backups themselves, store them and maintain them.
A Zoho moderation update on that thread announced Automated Backup in beta. The feature was enabled for everyone who commented on the post. Treat it as a beta: check whether it is switched on in your account rather than assuming it is.
Migrate file storage to WorkDrive first
Zoho WorkDrive is the cloud destination for automated backups. If WorkDrive does not appear as a Cloud Storage option, your file storage has not moved to WorkDrive yet. The path is Setup → Data Administration → Storage → File Storage, and from there you start the migration to Zoho WorkDrive. Once the migration completes, you can select WorkDrive as the destination for your backups.
Additional storage needs a call to support
If you have bought additional CRM storage, Zoho asks you to contact its support team. That storage must also move to Zoho WorkDrive before WorkDrive can be selected as the destination for automated backups. Allow time for this before you plan a cut-over date.
Worked example: a twice-monthly Zoho CRM backup stored in WorkDrive
This worked example sets up a Zoho CRM backup for a sales team on Enterprise edition that wants no more than two weeks of exposure. Every setting named below comes from the Zoho sources in this guide.
- Open Setup. Click the gear icon, bottom left in the new interface, and search for "Data Backup".
- Set the schedule. Choose twice a month. It costs nothing extra and halves the gap that a monthly schedule leaves.
- Fix the notification. Replace any personal address with a shared admin mailbox that survives staff changes.
- Move file storage. Go to Setup → Data Administration → Storage → File Storage and start the migration to Zoho WorkDrive. Contact Zoho support first if you have bought additional CRM storage.
- Select WorkDrive as the destination. Once the migration completes, and if Automated Backup is enabled for your account, choose Zoho WorkDrive as the cloud destination.
- Record the configuration. Export or write down your custom modules, custom fields, workflows and function code, because the ZIP will not hold them.
After the first scheduled run, check that the alert arrived and that the files exist where you expect them. Open the ZIP and confirm it contains record data and attachments. Only then is the routine working.
Testing a Zoho CRM restore before you need one
A tested restore is the only proof that your Zoho CRM backup works. Downloading ZIP files proves the schedule runs. It does not prove you can put a deleted deal back with its contact, its notes and its attachments in place.
Run a small test each quarter on a handful of records. A practical test follows these steps:
- Pick five to ten records from different modules that are linked to each other.
- Find them in the latest backup files and check that every field you rely on is there.
- Find their attachments in the same backup and match them to the right records.
- Re-create the records in a test environment and re-link them to their parent records.
- Time the exercise and write down every manual step it needed.
Restoring records is, in practice, an import. The same rules apply: map fields carefully, load parent records before the records that point to them, and check duplicates. Our guide to importing data into Zoho CRM without breaking your records covers field mapping and duplicate checks in detail.
Check derived values too. A community member reported that a Field of Lookup value is captured as a snapshot when the lookup is set and does not update when the parent changes. After a restore, confirm those values reflect what you expect.
Gaps a partner-built Zoho CRM backup process closes
A partner-built backup process covers the parts of Zoho CRM that the Data Backup ZIP leaves out. The gaps fall into three areas.
Configuration: fields, modules, workflows and functions
Your custom fields, custom modules, workflows and functions are the structure that makes the record data usable. Without that structure, a restore puts data back into a CRM that may no longer have the fields to hold it. A process that documents layouts and keeps dated copies of function code lets you rebuild the structure first. The more you have customised your CRM, the more this matters.
Related modules and record links
Records rarely stand alone. Deals point to contacts, and contacts point to accounts. A restore runbook sets the order in which modules go back, and how each link is re-made, so relationships survive. Accounts with related lists and lookups across many modules, as described in our intermediate Zoho CRM guide, need this most.
Integrations and other Zoho apps
Data written by connected apps lives partly outside the CRM. One community poster had not found a backup approach that would let them restore Zoho applications and data in a timely fashion. They added that the concern applies to all Zoho applications, not only CRM. A full process names each connected app and its own backup routine.
What Zoho CRM backups mean for a UK company
For a UK company, your customer data is your responsibility whether it sits in Zoho or in a backup file. Once you download the backup, you are also the one keeping it safe. The ZIP holds customer records and attachments. You decide where those files live, who can open them and how long you keep them.
Treat backup storage as part of the CRM, not as a stray download folder. Sending backups to Zoho WorkDrive keeps them inside your Zoho estate under its access controls. Downloading them to a laptop spreads copies of customer data across devices your team may not manage centrally.
Check feature availability for your own account rather than relying on announcements. Zoho rolls out many CRM features by data centre. Zoho Key Service, for example, launched in the US, IN, AU, JP and CA data centres. The mirror component reached the JP, CA, SA, UAE and AU data centres.
Automated Backup is in beta. Confirm in Setup what your account shows before you build a process around it.
Plan for staff turnover too. UK firms with small admin teams often have one person who set up the CRM. When that person leaves, the backup alert, the WorkDrive folder and the knowledge of how to restore can leave with them. Write the routine down and give it to a shared role.
Next steps for backing up and restoring your Zoho CRM data
Start with what you can check today in Zoho CRM. Each step below takes minutes, apart from the restore test.
- Open Setup, search for "Data Backup" and confirm your edition offers it.
- Set the schedule to twice a month if it is currently monthly.
- Change the notification address to a shared admin mailbox.
- Check whether WorkDrive appears as a Cloud Storage option, and start the file storage migration if it does not.
- Write down your custom modules, custom fields, workflows and functions, and save a copy of each function's code.
- Book a restore test on a small set of linked records within the next month.
If the restore test shows gaps you cannot close in-house, an experienced partner can design the configuration records, restore order and integration coverage with you. What a Zoho partner does explains the role. When you are ready to talk about your own account, our Zoho CRM implementation and consulting page sets out how we work on backup, restore and the wider build.
