Zoho Social linked to Zoho CRM: turning social engagement into tracked leads

October 30, 2026

Link Zoho Social to Zoho CRM so social interactions and lead-form submissions arrive as owned, attributed leads. This guide covers permissions, rules, LeadChain and common errors.

Abstract scattered points flowing along curved paths and merging into one ordered stream

With Zoho Social linked to Zoho CRM, your social channels appear as a brand inside the CRM. Interactions on your Facebook Page and X profile can then become leads or contacts with the social profile attached. You import the brand in Zoho CRM. You then add social automation rules and an assignment rule, so every new lead has an owner.

The Zoho Social and Zoho CRM integration is a link between Zoho's social media management tool and its CRM. It shares social channels, interactions and lead data between the two. The Zoho Marketplace listing says it also helps you identify the social channels that bring in the most revenue.

Zoho's help centre describes three uses. You can generate leads and contacts from social activity. You can run CRM reports. You can monitor lead and contact interactions inside Zoho Social.

The scope is narrower than many owners expect. CRM integration covers only a Facebook Company Page and an X profile. Zoho Social itself publishes to many more channels. Zoho Social also integrates only with Zoho CRM and supports no other CRM application.

If you are new to the product, start with our overview of Zoho Social for UK businesses. This guide covers four things:

  • the setup
  • the rules that stop social leads going nowhere
  • the route for Facebook lead forms
  • the limits to know before you start

Zoho Social and the Zoho CRM Social tab are different tools

Zoho Social and the Social tab in Zoho CRM are separate tools, and Zoho's help centre says so plainly. Zoho Social is an all-in-one social media management tool for building and managing your presence across many channels. The Social tab is a feature inside Zoho CRM. It connects your X and Facebook accounts, so you can monitor and take part in social activity from the CRM.

The Social tab has four components:

  • Dashboard
  • Monitor
  • Post
  • Activity Log

The Activity Log records what you do in the tab. That includes publishing posts, replying, commenting and adding leads or contacts. Posting from the tab is basic. You can attach one image per post, up to 5 MB for X and 25 MB for Facebook.

Zoho Social is where scheduling and wider publishing happen. It lets you schedule unlimited posts and build custom reports. It works with X, Instagram, Facebook, Google Business Profile, LinkedIn, TikTok, Pinterest, Mastodon and YouTube.

Social Lite connects the two tools. Social Lite is an edition of Zoho Social bundled with the paid editions of Zoho CRM and Zoho Desk at no additional cost. Brands you set up in the CRM Social tab sync with it automatically. You may create a brand in Zoho CRM without an active Zoho Social account. In that case, Zoho creates a Lite Edition inside Zoho Social for you.

Before you connect: admin rights, matching channels and one portal

Zoho Social will only link to Zoho CRM when four conditions hold. Checking them first saves a failed setup. Zoho's help centre sets out these requirements:

  • Admin on both accounts: you must be an admin in Zoho Social and in Zoho CRM to enable the integration.
  • Admin on Facebook: you must be an admin on the Facebook account, the Facebook page and the ad account you connect to Zoho Social.
  • Same channels in both: the same X profile and Facebook Page must be connected in Zoho Social and in Zoho CRM.
  • One portal each: the integration works for only one Zoho CRM portal and one Zoho Social portal.

Permissions inside Zoho CRM matter too. A brand in Zoho CRM is a grouping of your company's social accounts under one roof. The Social tab is an organisation-specific integration, and your Social Administrator must set it up. Only users with Social Media Level permission can use the tab.

Two more permissions apply to specific tasks. Setting up social automation rules needs the Social Admin permission. Attaching X or Facebook profiles to your own leads and contacts needs the Social Profile permission. Zoho calls this second feature Individual Interactions, because each user works through their own social accounts.

Decide who holds each permission before you begin. In a small firm, that is often the owner. That is fine, as long as one named person stays responsible for the rules after go-live.

Connecting Zoho Social to Zoho CRM by importing the brand

You connect Zoho Social to Zoho CRM from the CRM side. You do this by importing the brand that Zoho Social already holds. Once your channels are connected in Zoho Social, the same set appears as a brand in the Zoho CRM Social tab. Importing that brand completes the integration.

  1. In Zoho Social, open Settings, then Social Channels, and connect your channels. Zoho lists Facebook Page, Twitter Profile, LinkedIn Company Page, LinkedIn Personal Profile, Instagram Profile and Google My Business Listing there.
  2. Confirm that the Facebook Page and X profile match the ones connected in Zoho CRM.
  3. In Zoho CRM, open Setup, then Channels, then Social.
  4. Open Brand Settings and choose Import Brands from Zoho Social.
  5. Select the brand you want and import it.

The link also works in the other direction. You may open Zoho Social for the first time after setting up social channels in Zoho CRM. If so, you will see those channels already there.

Check your edition's brand limit before you name anything. Standard and Professional editions of Zoho CRM allow one brand. Enterprise and above allow two. You can keep a brand empty with no channels, but you can have only one empty brand at a time.

Name the brand after the trading name your customers know. Your sales staff will see it against every social interaction.

Social automation rules turn X and Facebook interactions into leads

Social automation rules are rules in Zoho CRM that automatically add people who interact with your social accounts as leads or contacts. Triggers include mentions, retweets, likes and messages on your connected X and Facebook accounts. When a lead or contact is added from your company's X handle or Facebook page, Zoho CRM attaches their social profile to the record automatically.

The rules need care because they have no AND criteria. Each condition stands alone. You cannot combine "a mention" with "contains the word quote". A rule on likes therefore creates a lead from every like. Your lead list then fills with people who never asked to buy anything.

Start with the narrow triggers. Messages and mentions usually signal intent. Likes and retweets usually do not. Watch what arrives for a fortnight.

Widen the rules only if the leads are worth calling. Our glossary entry on what lead generation means in practice helps if you are deciding what counts as a lead at all.

Two further points from Zoho's help matter after go-live. First, the rules become inactive if you disable social integration, so check them after any reconnection. Second, each record keeps its social history. The Social related list on lead and contact pages shows the linked X and Facebook conversations, under Interactions and Messages tabs. Whoever picks up the lead can read what the person said before calling.

Assignment rules and lead source keep social leads owned and attributed

A social lead with no assignment rule goes to the super administrator. In most firms, that means nobody calls it. Zoho's help is explicit. A social automation rule with no assignment rule assigns each new lead to the organisation's super administrator. An assignment rule is a Zoho CRM rule that decides which user owns a new record.

At Svennis, we build the assignment rule before we switch on any social automation rule. We then send a test mention and a test message from a staff account, to confirm which user receives each lead. That order means the first real enquiry already has a named owner. It never sits in an admin's queue.

Lead source is the second half of a clean setup. A lead added from X through a social automation rule has its Lead Source field filled in as "Twitter" automatically. That gives you a reliable filter for reports on how many social leads convert. Zoho's help does not describe the same automatic value for Facebook. Check what the field shows on a test Facebook lead before you trust a report.

You may already split leads by region or product. If so, reuse that logic for social leads rather than building a parallel set of rules. Our guide to territory management in Zoho CRM shows how to set rules that hold as the team changes.

Facebook Lead Ads need the LeadChain extension since April 2024

Facebook Lead Ads no longer reach Zoho CRM through Zoho Social for newer accounts. Zoho deprecated the Lead Forms module for users who signed up to Zoho Social from 19 April 2024. Zoho now advises you to sync leads from Facebook Lead Ads and Forms with the LeadChain extension. You install it from the Zoho CRM Marketplace. The same extension is available for Bigin.

Lead-form submissions are usually your highest-intent social leads. Someone who completed a form asked to be contacted. Someone who liked a post did not. Treat the form route as the one that must never fail.

Run the two routes as separate sources. Social automation rules handle interactions on your page and profile. LeadChain handles form submissions. Before go-live, submit a test form and check three things:

  • the lead lands in Zoho CRM
  • the lead has an owner
  • the lead's source shows where it came from

Duplicates appear where the two routes overlap. A person who messages your page and then fills in a lead form can arrive twice. Agree in advance who merges such records and how. You may also be loading older social leads from a spreadsheet at the same time. If so, follow the checks in our post on importing data into Zoho CRM without breaking your records.

Interactions flow through automation rules, while Facebook Lead Ads now need LeadChain. Social automation rules / LeadChain extension. What it captures: Mentions, retweets, likes and messages on X and Facebook / Facebook Lead Ads and Forms submission

Which social channels reach Zoho CRM, and how to check each one

Each social channel reaches Zoho CRM by a different route, or not at all. The table below sets out the route, the lead source behaviour and the test for each, based on Zoho's help pages.

ChannelHow it reaches Zoho CRMLead SourceWhat to check
X profileSocial automation rules on mentions, retweets, likes or messagesFilled as "Twitter" automaticallyKeyword and User Search work only for X, with a combined limit of 20 keywords and contacts

The Monitor limit matters if you track competitors or product terms on X. Every saved keyword and every watched user counts towards the same total of 20. Choose the terms that bring buyers, not the ones that bring noise.

Worked example: routing X mentions and messages to a named salesperson

This worked example follows an illustrative firm: a kitchen fitter in Leeds on Zoho CRM Professional. The firm has one Facebook Page and one X profile. Its office manager is admin on Zoho CRM, Zoho Social and the Facebook page and ad account. Professional allows one brand, which fits a single trading name.

  1. In Zoho Social, the office manager opens Settings, then Social Channels. She connects the Facebook Page and the Twitter Profile.
  2. In Zoho CRM, she opens Setup, then Channels, then Social. In Brand Settings she chooses Import Brands from Zoho Social, then selects the firm's brand.
  3. She creates an assignment rule that gives new social leads to the sales lead for West Yorkshire.
  4. She adds a social automation rule for messages and another for mentions. She attaches the assignment rule to both. She skips likes and retweets.
  5. From her own X account, she mentions the firm's profile. A lead appears, owned by the sales lead, with Lead Source "Twitter" and the X profile attached.
  6. She messages the Facebook Page from a staff account and checks the new lead's owner and source.
  7. Because the firm runs Facebook Lead Ads and joined Zoho Social after 19 April 2024, she installs LeadChain and submits a test form.

After a fortnight, the sales lead filters leads by source in a Zoho CRM report. He sees which channel produced enquiries he actually quoted for. Only then does the firm decide whether a wider rule is worth the extra noise.

What linking Zoho Social to Zoho CRM means for a UK company

For a UK company, the practical questions are edition, brand count, currency, channel mix and data protection. On Standard or Professional you get one brand, which suits a firm with one trading name. A firm with two trading names needs Enterprise or above, which allows two brands. The alternative is extra brands in Social Lite.

Zoho prices those extra brands at $5 per brand per month or $50 per brand per year. The prices are in US dollars on Zoho's help page, so check how the charge appears on your own invoice.

Budget carefully between the bundled and listed editions. Social Lite comes with paid editions of Zoho CRM at no additional cost. The Zoho Social extension on the Zoho Marketplace, however, is listed as paid. Confirm which edition you are running before you budget for features.

The one-portal limit affects groups. You might run a UK company and a sister company abroad in separate Zoho CRM accounts. In that case, only one of them can link to your Zoho Social portal.

Channel mix shapes the whole plan. Your enquiries may come mainly through LinkedIn or Instagram. Zoho Social publishes to LinkedIn Company Pages, LinkedIn Personal Profiles and Instagram, but the CRM integration covers only Facebook and X. Plan how enquiries from those other channels reach a covered route, such as a Facebook message or a lead form.

Data protection applies to every lead a social automation rule creates. Each such lead is a record about a person. Under UK GDPR you need a lawful basis for holding it, usually legitimate interests.

You must also tell the person how you use their data. Do so within one month, or when you first contact them if that comes sooner. Check that your privacy notice covers social leads before you switch the rules on.

Common errors when linking Zoho Social and Zoho CRM

Most failed links between Zoho Social and Zoho CRM come from portals, permissions or mismatched channels. The problems below follow from Zoho's documented rules:

  • "Error while creating Brand. This portal is already mapped to another CRM account": a user reported this on Zoho's community forum. It is consistent with the rule that one Zoho Social portal links to only one Zoho CRM portal. Check whether an old or trial CRM account holds the link.
  • No Social tab visible: the user lacks Social Media Level permission, or the Social Administrator has not set up the integration.
  • Cannot create automation rules: the user lacks the Social Admin permission.
  • Rules stopped creating leads: social integration was disabled at some point, which makes the rules inactive. Re-enable them.
  • Leads piling up with the super administrator: no assignment rule is attached to the social automation rule.
  • Keyword Search missing for Facebook: Keyword and User Search in the Monitor component work only for X.
  • Brand imports but interactions do not appear: a different Facebook Page or X profile is connected in one of the two products.

When something fails, check these in order: the portal, then the admin rights, then the channel match. That sequence resolves most problems before you need to raise a support ticket.

Next steps for linking Zoho Social to Zoho CRM

The next step is to confirm the prerequisites, then build ownership before automation. Work through this order:

  1. Confirm you are admin on Zoho Social, Zoho CRM and the Facebook page and ad account.
  2. Connect the same Facebook Page and X profile in both products.
  3. Import the brand in Zoho CRM under Setup, then Channels, then Social.
  4. Create the assignment rule for social leads.
  5. Check that your privacy notice covers leads created from social interactions.
  6. Add narrow social automation rules for messages and mentions, with the assignment rule attached.
  7. If you run Facebook Lead Ads, install LeadChain and test a form.
  8. Test each route, then review a lead source report after a fortnight.

Write down who owns each rule and when it was last tested. Social automation rules go quiet after a disconnection. A dated note is the simplest way to notice that.

If your social leads also need to fit a wider sales process, see how we approach Zoho CRM implementation and consulting. That page covers the pipeline, assignment and reporting setup that social leads feed into.
